Campus and Sponsor Application Deadlines

Provided below are the campus application review and submission deadlines, links to NIH and NSF program deadline information, and a calendar listing all major application deadline dates (to the extent possible, major non-federal sponsor deadlines will be included on the calendar.

Campus Application Review and Submission Deadlines

In order to assure that every application can be appropriately and fully reviewed and submitted to the sponsor on a timely basis, the following deadlines and procedures have been established. While every effort will be made to review and submit late applications, final submission to the sponsor of applications received after these dates cannot be guaranteed.

1. For applications (Grants.Gov files or non-electronic applications) which have been sent to the Office of Scientific Affairs / Division of Sponsored Programs as reasonably complete drafts for review at least 5 working days before the submission deadline, the final application must be forwarded no later than 10am of the day prior to the deadline.
2. For applications (Grants.Gov files or non-electronic applications) which have not been sent to the Office of Scientific Affairs / Division of Sponsored Programs as reasonably complete drafts for review at least 5 working days before the submission deadline, the final application must be forwarded no later than 10am two (2) days prior to the deadline.

NIH and NSF electronic applications must be submitted by 5:00pm on the deadline day. Other federal agencies may have 8:00pm or later deadlines — internal requests for application submission after 5:00pm will be considered only in extreme circumstances.

Sending Electronic Application Files to the Division of Sponsored Programs

Send the electronic application file as an attachment in an email to researchgrants@downstate.edu. Application files larger than 20MB must be copied to a CD and brought to the Division of Sponsored Programs (BSB 2-71E / 270-2680).

Campus Application Review / Signature Worksheet

The signature of the Principal Investigator (PI) on a PHS grant application was intended to provide PI certification of compliance to several PHS regulations. As the PI signature is no longer included on the application forms, a new compliance requirement is now mandated whereby DMC agrees to secure and retain a written assurance from the PI prior to submitting an application to the PHS. While this assurance is no longer included on the application, it remains a compliance requirement. Therefore, in order to meet this compliance requirement, the Office of Scientific Affairs / Division of Sponsored Programs will retain the Research Proposal Review/Signature Worksheet for each submitted application (requirement applicable for all sponsors) -- an application will not be submitted without this form. When multiple PIs are proposed in an application, this assurance must be retained for all named PIs.
